B. & C. Every single agent gets a separate email with page 10 of the purchase contract showing their offer was presented and not accepted by the seller. They are thanked for the time in showing and in submitting an offer. I explain how many offers were received and note that no other information regarding the transaction will be provided until escrow closes. Why? Because I get calls, text messages, and emails asking for details on the price that I do not share until escrow closes. Most of the agents will respond thanking me for letting them know. Taking the extra time and step is appreciated by most.

Our seller will initial line 473 and I'll email it to the agent and call if needed - that all depends on what the communication was during the offer period. Each agent is different. I"ll also ask them if they would like me to call them if the offer falls through for any reason. Almost all say, yes, please do and I've done just that a couple of times.

I avoid using the term "rejected". I try to say " Thank you for offer, but sellers chose or decided to go with another offer". Sellers initialing first page of offer and sending back is good practice, but not mandatory. Ask 2nd and 3rd best offers if they would like to be a back-up. In cases where I predict multiple offers, and sellers don't want to deal with bidding wars or numerous counter offers, I ask for highest and best in order to avoid explaining to agents why sellers didn't counter.

We don't utilize a rejection form in our market. An email or text often happens but isn't well regarded. SO... my vote is:
D. A direct call. This is a frustrating market for buyers. I think that the least we listing agents can do is connect directly and thank them for the offer and keep the door open should anything fall apart. Some agents will complain about the volume of calls they have to make. Oh well.

I did not call them all I sent a mass email to all 16 thanking them and saying my seller accepted another offer and asked if anyone was interested in a backup position. One was. I had another listing with 3 good offers and I called the two who did not win.

Once the winning offer is signed I notify the runners-up that they are in a backup position. For those that did not make the cut to be a runner-up, they can notified of rejection.
Runners up usually get a phone call, others get an email. Unless it's late at night, then they all get an email and the runners-up get a call the next morning.
The #2 offer could easily become the #1 if the EMD doesn't come in, which happens when buyers write on multiple homes, which they pretty much have to do in this market.

Everyone is communicated with either by phone or email. It depends. If the agent emailed me, I would probably email back. If I had a conversation with the agents, I would call. If the offer was in the top three, I'd probably call. Once I notify all agents, I usually send a notification through ShowingTime just to make sure I reached everyone.
