I put them on the MLS for everyone to see right away. It helps me have the information out there and prevents me from having to get them to cooperating agents for offers. We have to check whether the disclosures were received before/during the offer, or else we have to supply them within 3 days. Keeps me from having to get them out after an offer is agreed upon.

Our Team's procedure is to prepare a package with all disclosures that we have...seller disclosures, agent disclosures, inspections, and much more...and make it available through a link on the mls. We also put that link into the mls comments.
Having this information and the proper forms up front saves lots of questions and lots of time.
The system that we use also enables us to track how many and who has downloaded the package.

Our office's procedure is to not do the disclosures until we are under contract. Anything of significant importance, such as a major material defect or death within the alloted disclosure window, would be discovered during the listing and disclosed in the MLS agent remarks. The handful of mandated disclosures however are not done until escrow as the two main ones are in relation to the condition of various aspects of the house and it is possible, especially in a normal market, for those conditions to change during the course of the listing (like a dishwasher breaking).
For the agents that do them at the listing, what procedures do you have in place to insure accuracy of the disclosures? What happens if a significant material defect occurs? Do you have a directive to the seller to notify you immediately? Do you have a policy and procedure to pull the documents immediately until they can be updated or an amendment can be made? It may not be a concern in this "it sells in a day" market, but what about in a 3-6 month normal market?
