I've been using IXACT Contact since the middle of 2013 and here's my top 10 list of features and reasons that I am satisfied: 1. I was sold on the quality of the TUTORIAL VIDEOS about how to use the system. They are pretty short and to the point and well worth your time if you want to evaluate their system. Most of the competitors offered almost nothing that allowed me to get a sense of how I would use the tool. 2. The CONTENT of their PRE-DESIGNED activity plans are spot-on. The way the messages are written are personable and relevant. There really is very little that needs to be 'customized' to sound like me - they are that good! Imagine sending emails to your recently closed contacts at appropriate times (Hi, It's been a few weeks since you moved in - are you needing any referrals for local suppliers...) or (Now that you've been in the house for five months are you satisfied with how your decorating came out...) Absolutely fantastic way to put ongoing communication on auto-pilot. 3. Data management is pretty easy as customer support can upload spreadsheets of data right into your system for you. One feature that I didn't even know that I needed was the ability to EXTRACT my contacts into a spreadsheet. This allowed me to identify duplicates and data gaps that I didn't even realize that existed. 4. Mass emails such as MONTHLY NEWSLETTER CAMPAIGNS can easily be researched to identify who was interested in the mass email including whether the email was open, how many times it was opened and whether or not a person clicked a hyperlink from the system. Great way to identify who to prospect with a call. 5. I created my own contact templates under the mass mailings section to send emails to new prospects. By using the CAMPAIGN REPORTING feature I am able to understand if these email-only leads actually receive the email (or bounced) and if and when my email to them was opened. I can then plan for the appropriate additional follow-ups for each of these prospects. Didn't open my email at all - well maybe I'm not going to spend too much more time chasing that person. Opened it right after I sent - will keep sending emails and eventually they get comfortable and I might hear more from them. 6. CONTACT GROUPS is a great way of keeping track of contact interests and sending information of importance to all contacts with the same interest. For example, letting stay-at-home parents know about a an upcoming event for the kids or letting all the horse lovers know about an upcoming horse show or sending a market update to all people that have an interest in a particular town is easy if you've added the contacts into applicable groups. 7. SELLERS also love when I am able to show them the number of inquiries I've had on their listing because I added all inquiries into the database along with adding them to the contact group that I set up just for their home. Not only do the sellers love this, it makes my job that much easier if there's something interesting to report to people who inquired, such as a price change. 8. How about marketing to OTHER AGENTS when you have an interesting listing? By extracting MLS agent sales information, I've identified agents who successfully sold in a particular city during a given time frame and by uploading their contact information into the system I can send listing information in a geography that I know that they are already successful in and might have additional interested clients for my listing. My agent contacts are tagged to contact groups with both location and year such as 'Corona-2013' which allows me to write an email acknowledging their local success and communicate why they are getting my communication. Sellers love knowing that all successful agents in my market will know about their listing. 9. Appropriately tagging BUSINESS REFERRAL contacts allows you to generate a referral list for your clients. For example, maybe you talked about the tree growing too close to the house - send them your business referral list for all tree companies. 10. This one is actually my #1 reason I love the tool - PHONE SYNCHRONIZATION! If I get a call on my cellphone, I add them at the end of the call as a contact on my iPhone and the new contact will upload into the utility feature in the IXACT Contact system. I can then edit & add into the contact system itself by just looking at the utility area. No more remembering who recently called - they are all in the utility area until I choose to move them. And if I want to, I can just add contacts directly to the system and the iPhone will automatically be updated with the contacts information. My 'contact management system' was truly a mess before I started with IXACT Contact. I just had my phone's directory and some contacts in Outlook and no system at all. I really worked on cleaning up both of these sources FIRST before populating my system and I recommend that you create a contact group (maybe called 'migration') when you do you initial upload. You can then easily tackle cleaning up your contacts in the system on an as-needed basis by reviewing the 'migration' group. If you make it a goal to clean-up and remove 3-5 contacts per day from your 'migration' group you'll eventually get the task done and building on the usefulness of the system. I did sign up for a very large and expensive tool in the past from a competitor but I found it too difficult to use and basically ended up wasting a one-year contract. I thought the free trial period from IXACT Contact was a great way to start to see if I liked the system. Not having the ongoing contractual commitment (and the ability to easily extract all my contact information if I wanted to cancel) was much preferred over some competitors.
