 The Virtual Office Assistant:
by Deborah Steuer. If you're so busy you need an assistant, yet you don't want the hassle of dealing with an employee, keeping track of employment records, and paying out a full-time salary, a Virtual Assistant may be the answer for you. Your marketing coordinator could live several states away, yet is able to handle all of your advertising, design, and web site management – things that would take away too much time from what you need to be doing, namely listing, selling, prospecting and negotiating. Daily communication between you and your Virtual Assistant through email and occasionally the telephone keeps both of you focused and on track. All work passes through the Internet or a fax machine. This arrangement is extremely rewarding, both for you and your Virtual Assistant. Below are just a few of the things handled by Virtual Assistants: • Creating & Submitting weekly classified ads • Creating & Submitting weekly display ads • Creating & Submitting monthly ad for real estate books • Creating & distributing a monthly newsletter • Creating Just Listed/Just Sold postcards • Keeping web sites updated • MLS Listing Maintenance • Preparing CMA's • Developing Custom Listing Presentations • Developing Marketing Pieces • Database Management • And many…many more! The advantage to you is that you don't have to provide office space for a Virtual Assistant, you don't have to pay a fixed salary – Virtual Assistants work on either a pre-determined hourly fee or, they are on commission, based on the number of closings you have each month – and you don't have to file a lot of complicated tax paperwork for a Virtual Assistant. You also are not required to provide insurance, vacation pay, or sick pay. The advantage for a Virtual Assistant is that they get to work at home. They don’t have to fight traffic going to and from work, buy a fancy wardrobe, and they don’t have to abide by a rigid, 9 to 5 schedule. While you don’t have to pay an enormous salary, Virtual Assistants can handle work from several agents, so they are still able to enjoy a nice paycheck every month. And as an independent contractor, Virtual Assistants don’t draw vacation pay, they still take vacations thanks to laptop computers. The vast majority of Virtual Assistants agree that this arrangement has been more fun and stress-free than any office job they have ever held. If you'd like to set up a virtual office, here are some of the things you need to consider: • Finding the right person • Defining their responsibilities • Setting up a system to ensure proper lines of communication. Finding the Right Person For the virtual office system to work, you need someone who can work comfortably and productively outside the regimented infrastructure of an office environment. Some people lack the organizational skills and motivation to work at home. You also want someone who is comfortable with technology. As we all know, computers can be complicated and quirky. Your assistant needs to know how to resolve any minor complications and get your work to you on time. You need someone who is creative and who has a thorough understanding of the written word. Defining Responsibilities, Probably even before you start looking for an assistant, you need to decide what you'll have them do. Do you need a Virtual Assistant to write your newspaper ads, magazine ads and newsletter? Do you have a contact manager that needs to be updated daily? Make sure that the person you select as your Virtual Assistant has experience in the areas that you need taken care of. Setting up a System,  Setting up your system means having the right software, hardware, instituting a reliable reporting procedure, and determining the best communication protocols. Smooth data transfer and frequent communication between you and your Virtual Assistant is the key to a successful system. If you'd like more detailed information on setting up your own virtual office visit my website, http://www.revstaffing.com, email me at deborah@revstaffing.com, or give me a call, 850-423-7186 or 404-819-2933. No matter what your production level, you'll find that letting an expert handle the busy work of real estate will give you more time to meet with buyers and sellers, which can't help but improve your bottom line.

TO:      REVStaffing

I just wanted to comment on the exemplary service I have received from the REVS Staffing Team. Deborah Steuer, Tracy, and Marsha have been phenomenal in doing whatever was required to make my operation run smoothly.  I receive Internet leads from my website and other subscription services. REVS has made initial and follow-up calls, emails, set up appointments in Top Producer, set up automatic property searches in my MLS and notified me when a lead is ready to start looking for a home to purchase. My client did not realize that my assistant was in another state until I mentioned it. Keep up the great work because YOU'RE AWESOME!

Deborah,

Thanks for the reply. You have some really good ideas. Your experience as an agent and, your willingness to help, really shine through. The idea about the relocation service was fantastic and I think it could be a winner here. ...... Having said that, I feel it safe to say that the best advice I have received from Corcoran Coaching to date is the advice to call you. Your helpfulness, enthusiasm, and your ideas have given me a big shot in the arm and I really appreciate it. With you and your team helping me do the things I'm not so good at, allowing me to do more of the things that I am, I believe "we" will be a great team and as I related to you in our initial conversation, that is exactly the vision I had for my business from the start. So, once again, thanks for everything and I look forward to working with you.

Dear Fellow Broker:

It is my good fortune that Deborah Steuer and her staff came to our RE/MAX Southern Realty monthly meeting almost a year ago.   I was working with developers of a 30 unit condominium pre-construction development on Brooks Street in Fort Walton Beach.   Not a bad problem for someone back in the real estate business for 2 years.  My business was good but not good enough to afford a full time assistant.  However, I could not seem to “keep up”.   And there was Deborah. She and her Team assisted with catching up my Top Producer 7i information which makes correspondence easier, updated my Web Page, wrote Newsletters and sent them from 7i, created Flyers, added Listings, upgraded my personal Brochure, just to mention a few things.   I remember being in the Fort Walton Beach office very frustrated one day.  I had gone specifically to see Deborah for a concern, just dropped in.  She was not there but helping with an Open House for another Realtor..  One of  her assistants, told me not to worry “we” could do this.  She walked me through “how to”, even doing it for me.  That was such a feeling of trust in Deborah and her Team. Deborah helped me get organized.  She, or one of her Team, is always available to help me with computer issues or “how do I do this” problems.   That is her key.  She takes what I think are problems, makes them issues, solves them and I am encouraged to be the best Realtor I can be. Please feel free to contact me for my personal experiences with Deborah and her Team.  She is the Best, and it shows in her Team. Sincerely,  Brenda  Brenda Parish, Realtor

To Whom It May Concern:

Subject:  Deborah Steuer's Virtual Assistants Best Advantage:  Let's a small team, have the necessary backing of a large team. My husband & I are both full-time Realtors.  This allows a customer to have two for one pricing.  However, add in the Virtual Assistant, and you now have a large team of experts, that cover your back.  They will handle the tedious tasks-necessary-but time consuming.   Destin has a buyers' market, as most of the country now has.  All agents are taking a tremendous load of listings.  Along with listings’ comes lots of chores!   We have contractedwith Deborah to have Tracy, our favorite assistant, to do virtual tours, take photos, make flyers, set us up with Quantum mail for postcard mail-outs ( we have always done our own) Sit open houses with us  (it is unsafe for only one agent anymore) , update Top Producer, come to my home to help with computer problems, research cost of ads in out-of-state newspapers, make ads to place in newspapers, Etc.  Whatever we need, these ladies help us.   They do a great job!  We have all seen agents train their own assistants to have them quit after a few days, then go through the whole process again.  These ladies come already trained!  Also, you use the amount of time that you need only.  If you are having a slow month, don't use them.  If a very busy month, utilize them to the fullest.  During slow time, you do not have to fire or lay off an assistant.  You just cut back on the time you use.   We think that this is the best of both worlds.  Add-in that these ladies are a joy to be around & you have a recipe for success.

VIRTUAL staffing

When local real estate agents become so busy they can’t handle all their work, they call REVS for help

By MELANIE BARRETT Daily News Contributing Writer

Judy Moss admits there are times during the year that as a Realtor with RE/MAX Southern Realty, she doesn’t have enough of herself to go around.

That’s why she turns to Real Estate Virtual Staffing.

“There are times during the year that I’m so busy I can’t get everything done,” Moss said. “The virtual staffing is excellent.

This is the best of all worlds.”

    Real Estate Virtual Staffing —
www.revstaffing.com — was formed and began offering services locally about 18 months ago, according to owner Deborah Steuer.

“When I moved to the Okaloosa County area in August of 2004, I didn’t see many opportunities for my skills in real estate support, nor did the opportunities exist that would offer me comparable compensation to my positions in Atlanta, where I previously had lived,” she said.

So Steuer, a licensed Realtor in Georgia

since 1978 and now in Florida, began to perform support duties for agents who knew her in the north metro Atlanta area.

“To grow my income, I contacted a couple of local brokers to offer my services to their agents,” Steuer said. RE/MAX Southern was quick to jump on board, she said.

After meeting with Kerry Veach, owner and broker of RE/MAX Southern in the local area, “Kerry immediately identified value in offering my services to his agents. But he went one step further. He asked that I offer my services only to his agents in the Okaloosa-Walton County area, which he used as a recruiting tool.”

With her experience in the real estate world, Steuer said she has the knowledge of the business to support agents “in a way most assistants can’t in that I’ve been in the field and know the stresses and needs of the agent.”

Moss can vouch for that. She says the company has been “excellent” in helping her to maintain a smooth business.

“I have used REVS to update my Top Producer mailing lists, to make open house ads for the newspapers, to help with computer problems and to make virtual tours and pictures of properties,” Moss said. “You name it and these ladies can take care of it in a very professional manner.”

Steuer said her staffing team can “jump start” an agent’s marketing and help “keep them focused on dollar productive activities.”

At a cost by the hour, according to Moss, Real Estate Virtual Staffing will handle new agent orientation, provide support to office staff during busy times, handle training and other similar situations that may arise.

Steuer said some of the advantages she sees in providing virtual staffing is that they don’t have to provide office space or pay a fixed salary to an employee.

“You get the best person to do the job at hand when you need them, with no long-term commitment,” Steuer said.

Moss, who has been working with REVS for about a year, said the service provides temporary staffing so an employee won’t have to be let go.

“Some full-time assistants will be hired and then in down time, when the market takes a downturn, they get fired, and that’s sad, because they might have turned down another job to get this one,” Moss said.

She also likes the fact that she can control her spending this way.

“If one month you need a lot of help, then can take care of it,” said Moss, a three-year Realtor with Re/Max. “If you have a slow month and don’t need help, you don’t have to pay an assistant.”

Steuer said the virtual assistants who work for her have the best of both worlds as well.

“They are independent contractors who have contracted with me to do assignments,” she explained. “I train them and pay them a higher wage than they typically find in the job market.”

Steuer employs four women in Florida and two in Georgia through REVS. They take on any amount of work they choose, and they get to work from home.

“Unless it’s a big project, assignments are finished the same day,” Steuer said. “This allows these contractors to have a home-based business that they control and can work around their family, which is one of my early goals.”

Tracy Gaston was an executive assistant with a top agent at RE/MAX Southern looking for a change. She wanted to have a more flexible work schedule so she could be more involved with her daughter’s dance team at Choctawhatchee High School.

“This job is very beneficial for my family and myself,” Gaston said. “I can get up early and get my work done or sleep in and work later in the day. I am free to take my daughter to dental and doctor appointments, school functions, and have holidays off. I can work in my pjs with no makeup and my hair in a ponytail if I choose. Only my cat sees me and she doesn’t care what I’m wearing!”

Gaston, the senior virtual assistant with REVS, does everything from create flyers, postcards and mailings, enter listings in the MLS (multiple listing service) and take photos for agents and do virtual tours of listings.

Steuer is proud of the fact that she is able to offer local real estate agents experienced support without the continued expense of a full-time assistant.

“I have multiple people who can do any job, so there is always someone available to support the agent in a timely manner,” Steuer said.
